A UAE real estate group asked me one question. Can AI handle our leads, our replies, our leases and our renewals? Below is the full workflow I mapped for them, the tools, the cost and the 8-week plan. You can lift all of it for your own company.
The group manages residential and commercial property for more than 400 owners. The portfolio grows about 10% every year. Staff numbers do not. These were the four problems on the table.
WhatsApp, website forms and email. Nobody sees all of them in one list. Some get a reply the next day. Some never do.
Rent, availability, viewing times, maintenance status. The team writes the same 10 emails every day in Outlook and Gmail.
UAE tenancy rules need 90 days' notice before a rent change at renewal. Miss the date and the increase waits a full year.
Owners and directors ask for occupancy, renewals due and lead counts. Someone builds that report by hand every month.
This is the flow I scoped. A lead comes in from any channel and leaves as a signed, stored, tracked lease with its renewal already on the calendar. Each step is a separate automation, so you can build it one piece at a time.
WhatsApp Business, website forms, property portals and both inboxes feed one queue.
Each message is tagged: enquiry, viewing, renewal, maintenance or investment. Arabic and English both.
Contact created or matched, duplicates merged, the right agent assigned, the pipeline stage set.
A prompt library drafts the answer with property details and offers 3 viewing slots. Staff approve or it sends.
A qualified lead triggers the digital contract. Details pull from the CRM, so nothing is retyped.
Every contract and Ejari certificate goes to cloud storage, named by unit and tenant, searchable in seconds.
Reads every lease end date. Sends the renewal and rent-change notice at 90 days, chases at 60 and 30.
Leads, response times, occupancy, renewals due and maintenance tickets. Live, for owners and directors.
Email was the first piece to build, because it touches every other step. I wrote a prompt library for 10 real estate scenarios. Each prompt carries variables for the tenant, unit, rent and dates, so every reply is personal. These five carry most of the volume:
Maintenance replies open a ticket with photo upload and a 24-hour response promise. Renewal replies follow UAE tenancy law wording.
| Tool | Per month | Why it made the list |
|---|---|---|
| EmailTree.ai + Pabbly Connect · picked | $35 to $50 | Real estate templates, 14 languages, Outlook add-in and API, unlimited automations |
| Microsoft Copilot | $11 | Native inside Outlook, good for drafting, weak on routing |
| Mailbutler | $13 | Tracking and task extraction from emails |
| GenFuse AI | $15 | Multi-app workflows across email, sheets and CRM |
| MailMaestro | $15 | Polished professional replies |
Five phases. The team keeps working the old way until week 8, so nothing breaks during the build.
I priced two routes for the group: the tool-led build I scoped, and the large IT consultancy route they were also looking at.
One-time setup. Then $335 to $650 a month in tools. Live in 8 weeks.
Project fee, plus a $5,000 to $15,000 monthly retainer. 15 to 22 weeks.
Consultancy range is from published 2025 AI consulting rates ($100 to $300 an hour). On my public price list each automation step above is one workflow at $200, so you can start with step 1 and add the rest when it pays.
An AI research agent read the company's public profile and returned a full automation report: stack, timeline, cost and ROI graph.
The report became a scope document the client could send to vendors for quotes. Module by module, with go-live checks.
Tool comparison, the prompt library, integration map and the 8-week roadmap you see above.
Everything in one link: the tech spec, automation ideas and build notes, ready for any developer.
"This is fantastic. Very informative and amazing doc."The client, on receiving the documents, Oct 2025

Decades in manpower, manufacturing and retail across the Gulf. I know what a renewal diary and a WhatsApp group full of leads look like on a Thursday night. That is why the workflow above starts with your mess, and why the build is priced so a small firm can say yes.
Tools your team already knows. Nothing that needs me to keep it alive.
Agreed in writing before work starts. The price does not move.
Some problems need a spreadsheet or a phone call. You hear that on the first call.
Accounts, prompts and data stay in your name. The handover matters more than the build.
The playbooks, the tools I use every day and the lessons behind them. No sign-up.
